Assistant Director of Sponsored Research
Duties And Responsibilities
Reporting to Executive Director, position will assume leadership for sponsored research pre- and post-award needs and compliance for SCRB faculty members (initially 17 to grow to 25.) Lead sponsored award transfer for Harvard and hospital-based faculty migrating to SCRB and new sponsored research proposals for all SCRB appointees. Plan/shape roles of sponsored research administrative staff to meet unique challenges of SCRB faculty. Recommend strategies to handle problems and resolve issues requiring high-level of interaction with Harvard offices such as OSP, UDO, OTD, RSO, Dean's and Provost's Offices to communicate needs and possible solutions. Notify SCRB faculty of sponsored research opportunities and assist with assessing eligibility. Lead development of proposals, in coordination with faculty; advise about sponsor requirements, develop detailed budgets, coordinate proposal process and secure supporting documentation, coordinate subcontracts, gather required approval documentation, complete required sponsor forms. Usher proposals through Harvard review/submission process. Trouble-shoot issues throughout proposal review process and submit applications meeting submission deadlines/requirements. Manage reporting calendar for active sponsored research awards, updated approvals (IACUC, IRB, ESCRO)and work with faculty to ensure timely creation/submission of "interim" proposals. Administrative lead to coordinate research projects; connecting research compliance and faculty pending and active projects. Position will also oversee SCRB post-award financials and spending compliance and lead, supervise & manage post-award managers. Must maintain up-to-date knowledge of compliance policies related to sponsored resarch. In consultation with University and School administrators, make recommendations to PIs and Executive Director for resolving SCRB sponsored research issues pertaining to collaboration with other institutions. Resolve issues relating to transactions and flow of funds and trouble-shoot problem areas. Oversee spending to ensure financial integrity and compliance of award expenditures via managing issues relating to lab purchases of goods and services as well as setting up documentation system and constructing reports. Track, analyze, and develop reports for fund utilization and ad hoc analysis as needed. Supervise effort reporting process, track/maintain communications to ensure compliance. Oversee faculty and lab personnel access to sponsored accounts; communicate/coordinate between lab, FAS, OSP, HMS, and hospitals to ensure processes are in place for smooth operations. Administer stem cell NIH Training Grant; coordinate with multiple training sites to complete required reporting and update trainee documents, manage annual continuation proposal process across multiple investigators, ensure that account structure and financial distribution matches trainee appointments.
Basic Qualifications
BA/BS degree with 5 years experience in research finance/sponsored research management.
Additional Qualifications
Substantial experience with sponsored research pre- and post-award functions: proposals, submissions, award review, compliance, reporting. Expert level knowledge of A-21 and NIH sponsored polices is essential; solid understanding of the basic framework of A-110 or A-122; A-133 based audit experience is desirable. Experience using large financial systems/reporting application such as GMAS, FASSPAR, CREW, EREQ or EQUIPSTER and handling large and complex portfolios. Strong analytical and organization skills, with ability to research and report information independently in arriving at solutions to solve problems or resolving issues at hand. Prioritize multiple assignments with tight deadlines. Use high degree of judgment to make sound decisions, effectively communicate with faculty members, adjust workflow to meet expectations. Must be able to handle sensitive and confidential information with discretion. Demonstrated commitment to customer service and willingness to take on tasks as assigned. Strong verbal, writing, and interpersonal skills. Harvard sponsored project management experience is preferred. NIH Training Grant (T-01) administration experience is a plus. GMAS, FileMaker, Excel, grants.gov, Adobe Acrobat/PDF, Microsoft Office Suite, Outlook.
Additional Information Assistant Director of Sponsored Research is part of the SCRB administrative team whose mission is to provide the best possible customer service to its faculty members and support their research progress. Established in 2007, SCRB is the University's first cross-school department located in both FAS and HMS, and many of its faculty hold appointments or affiliation in the Harvard Affiliated Hospitals.
